RWV SOCIAL MEDIA
Privacy Policy
Effective October 12, 2026
This policy explains how RWV Social Media handles information through its website, creator onboarding and workspaces, including private portal tests. For privacy questions or requests, email rich@rwvsocialmedia.com.
Information we collect
If you contact us, we receive the name, email address, company or social profile, message and other information you choose to send. The public inquiry form prepares an email in your email app. It does not submit its fields to our website server. We receive the message when you send it.
Invited onboarding can collect your legal and creator names, contact details, location, social profiles, audience information, services, rates, rights preferences, availability, brand history, existing obligations, invoicing contacts and permissions. Saved drafts, revisions, review notes and submission or acknowledgment records can also be stored.
Workspaces can store account identifiers, role and creator assignments, invitations, authentication and access records, campaigns, messages, feedback, activity history and payment records. VPS portal accounts store password hashes and session records. They process the password you enter when you set it or sign in. File uploads include footage, drafts, images, documents, post proof and their filenames, sizes, types and campaign associations. Private tests currently use sample files and financial records.
Our hosting and security providers can receive technical information such as IP address, browser and device details, requested pages, timestamps, cookies and error or security logs.
How information is used
We use information to respond to inquiries, review creator fit, organize onboarding and campaign work, operate accounts and file access, maintain records, resolve questions and protect the service. Optional permissions recorded during onboarding are specific to the stated activity. Submitting a form does not grant unrestricted mailbox access, outreach authority or permission to accept a brand deal.
Who can receive information
RWV staff and authorized collaborators can access information relevant to their work. Campaign information and content may be provided to the relevant creator or brand for the agreed partnership. Website hosting, infrastructure, authentication, email and file storage providers process information to operate those services.
The public website uses OpenAI Sites and Cloudflare infrastructure. Workspace sign in uses email and password accounts on our VPS portal. A ChatGPT account is not required for portal access. New creator access remains closed until agreement and account verification are complete. Google Drive stores private portal uploads in an RWV owned folder. The Drive authorization technically permits account wide read and write access; the portal application restricts its file operations to its configured RWV folder structure. Creators do not receive RWV’s Google credentials or direct Drive sharing through the upload flow.
Provider practices are described in the OpenAI privacy policy, Cloudflare privacy policy and Google privacy policy. External services and links have their own information handling practices.
Cookies, browser storage and tracking
Hosting and sign in services use cookies or similar storage for access and security. The homepage stores your motion preference in local storage. Workspaces can store view preferences and pending save information in local or session storage. Private account pages temporarily store an invitation or recovery token in session storage. Avoid shared devices for private work and sign out when finished.
Marketing pages request Google Fonts, which sends technical request information to Google. The reviewed application code does not contain advertising pixels or a dedicated visitor analytics integration. This does not mean that hosting or external providers collect no data. Other parties, including providers and external services you visit, may collect or associate activity information over time and across services under their own policies.
Our application does not change its behavior in response to a browser’s Do Not Track signal. Browser controls can block cookies or clear stored data, but doing so can interrupt sign in and saved preferences.
Retention and privacy requests
We have not established a fixed automatic deletion schedule. Inquiry correspondence, onboarding and campaign records, uploaded files, access history and backups can remain stored until they are reviewed and removed. Revoking an account or expiring a session does not delete the underlying records. Provider logs and storage follow the applicable provider’s retention practices.
To request access, correction or deletion of information held by RWV, email rich@rwvsocialmedia.com and identify the account or record concerned. We review requests manually and may need to verify that you are entitled to the information. We will explain any limitation, including records needed for an active partnership, payment history, security or legal obligations. There is no self service deletion tool. Do not email passwords, bank details, government identifiers or unrelated private documents.
Policy changes
We will post material changes on this page with an updated effective date and a description of the change. Review this page before providing new information. This version, effective October 12, 2026, describes email and password portal access alongside website and private test privacy disclosures.
